EXECUTIVE COORDINATOR [FULL-TIME]

Reports to: Operations Director

Job Summary: Provides support to Executive Staff. The Executive Assistant must be creative and enjoy working within an environment that is mission-driven, results-driven, and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations and will possess good written and verbal communication, administrative, and organizational skills. The ability to maintain a realistic balance among multiple priorities is imperative. The Executive Assistant must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Culture and Mission: Assist in enhancing the lives of adults with Developmental Disabilities

Responsibilities:

  • Provide support services to the Executive Staff ensuring outstanding communication and responsiveness

  • Provide calendar management, prioritize inquires and requests, make judgements and recommendations to ensure smooth day-to-day engagements

  • Support for with internal and external communications

  • Conduct research and analysis

  • Support and manage requests and projects to meet objectives

  • Prepare and edit correspondence, presentations and reports

  • Complete expense reports and manage correspondence with vendors

  • Serve as a liaison to the Board of Directors

  • Assist in the preparations of some regularly scheduled reports for Staff and Board of Directors

  • Maintain quality filing and communications systems

  • Support ED with Capital Campaign, Major Gift Donors, and Grant Donors and Funder relations and reports

  • Maintain Board, Capital Campaign, Major Donor and Grant lists

  • Assist in other administrative tasks as needed

Knowledge, Skills & Abilities:

  • Passion for Wings mission and individuals with special needs

  • Working knowledge of office equipment, like computers and printers

  • Proficiency in MS Office (MS Word, MS Excel, Presentation Software, in particular)

  • Excellent time management skills and the ability to prioritize work and function independently

  • Attention to detail and problem-solving/analytical skills

  • Excellent written and verbal communication skills

  • Strong organizational skills with the ability to be flexible and multi-task

Requirements:

  • Ability to work some evenings and weekends as necessary

  • Eager to work with and empower volunteers to increase Wings’ capacity

  • Meet physical requirements to safely perform assigned duties

Qualifications & Experience: Associate’s or Bachelor’s Degree
